Hi All,

Is there an easy way to set up an approval to go to different people based on who is raising the request?

We have multiple different sectors / departments which have different Finance Managers managing each one. I want to be able to point an approval to the right Finance Manager based on who is raising the request.

Hi Caroline,

The default setup is that when you leave the Manager field empty on the “Preliminary Request for Change” block, the approval goes to the person who is in the manager field of the person card.

You can also work with Person groups who can approve the changes in the backup view of the approvals.

Thanks for the response Kevin. Most of my Simple Changes are already set up this way.

 

However, for this particular one, I need the Finance Manager - not the line manger - to carry out the approval. And there are different finance mangers depending on what department the user is based in. I am trying to understand how I route the request in this instance. The Manager Group function would not work as it would mean that any manager within that group could approve the request, but they may not be the budget holder for the user.

Ah okay, I understand, I don't think there is an easy way to accomplish this.

Is there a field in the Person card of the requester you can use to determine the finance manager? In that case you could build an automated action that gets that value and based on the value either determine the approval manager or approval person group. This is just some thinking out loud, i don't have an example on this. Maybe others have more experience.

Hi Caroline,

If you do have a person group with for example Finance Managers and you are able to determine their responsible department based on the person creating the request, you could try to create an automation that fills in the correct Finance Manager based on the department of the person.

You could look for the department of the Finance Manager, if those match it's an easy variable that you can use.
Otherwise you could create a mapping table, where the department leads to the specific Finance Manager and use that to determine which one it is and keep track of possible changes in Finance Managers/departments there.
